A better expense management system for law firms and employees

Concur is the leading travel and entertainment; online and mobile expense management tool.  Concur manages and screens costs in an easy reporting system which incorporates all data from receipts and allocates it to the client file and also traces the spend back to the relevant practitioner.

Firms are happier as client costs are allocated efficiently and accurately, and practitioner time and spend is managed more effectively.  Practitioners are happier as the administrative burden of having to remember to retain endless receipts for client files or personal reimbursement is no longer required.

Data is captured in one easy step and can be done on the go with Concur’s Mobile Application which allows expense reports to be created, reviewed, and approved from any Smartphone or Tablet.  In addition, due to Concur’s hosted cloud service there are no license fees so all practitioners and legal support staff can be given login access and charging is based on usage (expense reports).

Concur – Expense Submission and Approvals Process

Concur will allow practitioners and legal support staff to input expenses both online and via a mobile/tablet device using Concur’s Mobile Application. Ideally, via a mobile device, practitioners will be able to directly take a photo of a receipt using the Mobile Application and Concur will scan and identify the key data of the receipt and automatically populate an expense line item.  Additional details such as the Business Purpose can be selected via a drop down box.

Alternatively, legal support staff can create Expenses Transactions and therefore Expense Reports on behalf of an individual practitioner. They can either take photos or scan receipts into Concur and forward them to the users profile and Concur will extract the receipt information automatically as mentioned above.

Expenses such as taxis, meals and entertainment (with attendees), parking, etc. can be selected easily by a user which are then automatically mapped to the accounting structure without the need for the individuals knowing any GL codes for example.  The three screenshots below show the Mobile Application starting from taking a photo of a receipt, showing Individual transactions and any Expense Reports and the Report itself which can be submitted remotely.

Importantly, Concur can allow firms to input their own expense policy forcing mandatory fields to be entered by a user before submission and show yellow flags if an expense is over a certain limit.

The Expense Report is then routed via an approval process which is ultimately approved by Finance with an audit trail of the process.  Firms then have access to various reports within Concur and the ability to upload via an accounting extract into Affinity.
